What does "bill-only" actually mean?
A vendor rep brings implants or devices to a scheduled case, and the facility is billed afterward for what was used — there's no purchase order up front. Today that workflow usually runs on paper, email, and trust.
Do we have to integrate with our EHR or ERP to start?
No. BillOnly runs alongside your existing systems — cases are identified by scheduling metadata, not patient identity, so there's no integration project between you and getting started.
Does PHI enter the platform?
BillOnly is designed to operate without PHI. It manages scheduling, product declarations, charge capture, and billing metadata — no workflow requires patient identity. See the security overview.
Does money move through BillOnly?
No. BillOnly tracks remittance status through settlement, but payment happens on your existing rails. There are no payment credentials to store and nothing to divert.
Where do the prices come from?
From your contracts. Every declared and captured item is priced from your contract file, and declared products are checked against your approved-product list — so the checks reflect what you actually agreed to.
What happens when something is off-contract?
It raises a flag — off-contract, over-spec, or over-budget. Flags are resolved by your team on the record, and a serious unresolved flag blocks invoice approval. Overspend gets resolved, not discovered.
What can vendor reps see?
Only the cases they're explicitly assigned to and the data they authored. That boundary is enforced in the database itself, not just the application.
How hard is this to roll out?
If your team can use email and a calendar, they can use BillOnly. Facility staff work in the web app; reps use the mobile app. There's nothing to install on your infrastructure.
Where is it hosted, and how is it secured?
BillOnly runs on Microsoft Azure. Traffic is encrypted in transit, data at rest; each network's data is isolated with database-enforced row-level security; every change is kept in a full audit history. The security overview covers the details.
